BUSINESS and CANCELLATION TERMS except for Hotel Clarion and Carol
(cancellation terms of these hotels are available on their registration sites).

GENERAL:
Accommodation prices are displayed in EUR (converted from the local currency Czech Crowns/CZK), rooms are charged per night, including breakfast, VAT and city fees. In case of exchange rate changes by more than 2% or in a case of VAT changes made by the legal authorities of the Czech republic (VAT increase, e.t.c.), the Supplier, Event Partners s.r.o., has the right to modify the prices for future reservations.
One change of person in room is possible with no extra charge. Shortage of duration of stay after your check-in date will cause 100% cancellation fee application for unused nights

REFUNDS (FULL PREPAYMENTS):
The fully pre-paid accommodation will be refunded upon request in accordance with following cancellation fees:

from payment day to 30 days before arrival..... 0% cancellation fee*
29 to 20 days before arrival....................20% cancellation fee*
19 to 14 days before arrival....................50% cancellation fee*
13 to 7 days before arrival.....................66% cancellation fee*
6 to 0 days before arrival.....................100% cancellation fee*


* Additional 15 EUR administration fee plus a bank fee will be deducted from every refunded amount.

REFUNDS (ONE NIGHT PREPAYMENTS):
One night prepayments are non-refundable. Rest of the payment must be paid at SPIE EOO 2023 accommodation desk (conference floor in hotel Clarion) no later than April 23,2023. No show/no payment after this date will result in a NO SHOW application. please, contact us at: accommodation(at)conference.cz if you have any additional questions


NO SHOW POLICY:
No show in your hotel or no payment of due amount on your check-in date results in a NO SHOW application (room availability is no longer be guaranteed), plus 100% cancellation fee applies.

HOW TO CANCEL A RESERVATION:
Any cancellation must be notified by e-mail (from participants registered e-mail address only) towards Event Partners s.r.o. using the following e-mail address: accommodation@conference.cz. Please, resend your confirmation e-mail to speed up your cancellation request. Cancellation date/time equals the date/time of e-mail reception.
