Accommodation for participants has been reserved at hotels of several categories in walking distance to the Symposium venue or easily reachable by public transport. Detailed description of each hotel including on-line reservation is available on this Web site in the section on-line forms. Kindly note that all capacities are limited and all requests will be considered in order of receipt. Requests received after April 30, 2009 will be confirmed only within possibilities left.

Reservation:

To book accommodation, a completed Accommodation form should be sent by mail or by fax to the Symposium administrator. On-line reservation is available on this Web site. Inscription of your credit card data through the internet is SSL certified.

Hotel Deposits:

Reservation will be guaranteed only after receipt of the first night deposit. The balance of the hotel account has to be settled by April 30, 2009.

Cancellation Fees:

Any cancellation must be notified in writing to the Symposium administrator. The payment of accommodation will be refunded in accordance with the following cancellation fees:

Cancellation 31 and more days before arrival   :     0 % of the whole booking value

Cancellation within 30 – 22 days prior to arrival:   25 % of the whole booking value

Cancellation within 21 – 16 days prior to arrival:   30 % of the whole booking value

Cancellation within 15 –   8 days prior to arrival:   50 % of the whole booking value

Cancellation within   7 –   0 days prior to arrival: 100 % of the whole booking value

Please note that most of the common credit cards include also insurance against cancellation fees. Please ask you credit card institution for details to avoid the cancellation fees. You can also insure against cancellaton fees in most of the common travel agencies or airlines.

Confirmation of Reservation:

Your booking will be confirmed upon the receipt of your Accommodation form and the hotel deposit. The hotel voucher will be sent by airmail or as PDF document via e-mail after receipt of the total amount. Reservation changes should be made directly to the Organizing secretariat and NOT to the hotels.

Prices and VAT

The prices indicated in the Accommodation form are per room and night, including breakfast, city fee and VAT.  In case of exchange rate changes by more than 5% Conference Partners Prague Ltd. has the right to modify prices.

Advice and Limitations:

Please note that May/June is the busiest tourist time of the year and hotels might be completely booked out. The capacities are limited also due to the EU Presidency of the Czech Republic and parallely starting EU – meetings in the term of our symposium. It is important to reserve your hotel in advance. Prague offers a wide range of accommodation possibilities and Conference Partners Prague will come up to every request. If you do no find in the conference offer your favourite accommodation, please do not hesitate to contact us for special and individual offers.

If you want to make reservation on your own, please be aware that hotels in Prague often post internet prices without VAT, breakfast, and the city tax, which together are substantial amounts. Hotels often use variable pricing during the season and prices and conditions might change dramatically. Sometimes internet agencies offer low prices without having the rooms reserved, or they reserve rooms in different area of the city.
